FEDERAL, STATE AND NOTARIZED DOCUMENTS

Which Apostille Service Do You Need?

The correct apostille authority depends on who issued or notarized the document.

FEDERAL DOCUMENTS

Federal records generally follow a federal apostille process.

Examples may include:

  • FBI background checks

  • Federal court records

  • FDA certificates

  • IRS documents

  • Military records

  • Documents issued by federal agencies

  • Certain naturalization-related records

Standard Federal processing times are 5-12 weeks. We offer expedited service 7-10 business days.

NOTARIZED DOCUMENTS

Private documents may need proper notarization before they qualify for apostille processing.

Examples may include:

  • Travel consent forms

  • Medical authorization forms

  • Powers of attorney

  • Athletic contracts

  • Employment letters

  • Team authorization letters

  • Affidavits

  • Copy of Identification

  • Business Agreements

  • Other privately issued documents

Notarizations are included in the flat rate fee for Federal or State Apostilles.

STATE-ISSUE DOCUMENTS

State-issued records are generally submitted through the state responsible for issuing or certifying the document.

Examples may include:

  • Birth certificates

  • Marriage certificates

  • Death Certificates

  • Divorce Decrees

  • Diplomas and Transcripts

  • Professional Licenses

  • Power of Attorney

  • State background checks

  • Court orders

  • Certified school records

  • Medical or licensing records

  • Corporate Documents and many more

Standard Apostille processing can be 30-45 days. We offer expedited service for 2-5 business days depending on the state.

AUTHENTICATION

For documents being submitted to countries that do not use the Hague apostille process or that require additional embassy or consular processing.

Federal documents generally follow a federal process, while state-issued documents normally must be handled by the state that issued or certified them.

Notarizations are included in the flat rate fee for Federal or State Apostilles.

What is An Apostille?

An apostille is a government-issued certificate that authenticates the origin of an eligible public or notarized document for use in another country participating in the Hague Apostille Convention. It verifies the signature, official capacity, and seal associated with the document, but it does not certify that the document’s contents are legally sufficient for every foreign application.

Documents going to countries outside the Hague Convention may require authentication and embassy or consular legalization instead of, or in addition to, an apostille.

Does Your Document Need Notarization First?

Some privately issued documents need proper notarization, while vital records, FBI reports, and many government-issued documents should not simply be notarized by the customer.

The U.S. Department of State specifically warns against notarizing certain original federal documents because doing so can invalidate them for the federal authentication process.
